Summary:
The Payroll Assistant is responsible for accurate timekeeping data, attendance callouts, documentation, and supporting the processing of timely payroll batches for 200+ employees per week.

Responsibilities:
Attendance:

  • Document all employee call outs in Bullhorn and Workday timely and accurately.
  • Speak with each employee who is absent in accordance with attendance policy and share information with client.
  • Enter all notes into Bullhorn after conversation with employees.
  • Understand the weekly schedules and communicate with employees
  • Review tardiness and follow attendance policy
  • Pull attendance reports weekly and share with Onsite team to provide to client
  • Manage all COVID callouts including Risk Assessment (Contact tracing) reports, on-going absence follow-up, recording Covid-19 testing and results, and submit requests for Covid-19 pay

Timekeeping

  • Review daily timekeeping report for each employee on each shift
  • Look for any irregular hours and complete a missed punch form with corrections and employee/supervisor approval
  • Upon approval make necessary changes in timekeeping system before the close of payroll every week.
  • Collects/Compiles all time sheets and audits data to ensure the accuracy of the weekly payroll run
  • Reconciles, makes manual calculations, and audits against timecard before entering payroll system
  • Complete payroll by 12pm on Mondays
  • Answer employee and management payroll inquiries in a timely and professional manner
  • Maintain appropriate documentation to substantiate data entry requests
  • Process special payrolls including the bonus and year-end adjustment payrolls
  • Carry out clerical duties such as filing, scanning, faxing, photocopying, mailing, shipping, etc.
  • Ad hoc reporting for client requests and employee hours
  • Special projects assigned by manager

Qualifications:

  • 1 - 2 Years’ Accounting, Administration and/or Business Office Experience
  • Prior payroll experience desired but not required.
  • Exceptional interpersonal and customer service skills
  • Intermediate to advanced experience in MS Excel
  • Excellent written and verbal communication skills
  • Strong organizational skills and high attention to detail
