Receptionist

We are looking for a highly polished, professional Receptionist to support our client, a well-established law firm in Santa Rosa. This is a direct-hire opportunity for someone who takes pride in being the first point of contact and thrives in a fast-paced, detail-driven environment.

This role manages high-volume phone lines across Los Angeles, Napa, and Santa Rosa and requires excellent communication skills, discretion, and strong organizational ability. The ideal candidate presents professionally at all times and is comfortable interacting with high-profile clients.

What you’ll be doing:

• Answering and transferring multi-line phone calls with professionalism and accuracy

• Documenting messages in detail and ensuring timely follow-up

• Sending appointment reminders and managing front-desk communications

• Sorting and distributing incoming mail

• Ordering office supplies and supporting general office operations

• Preparing and sending correspondence

• Providing administrative support across departments as needed

What we’re looking for:

• 2–3 years of recent receptionist experience, ideally in a professional services or legal environment

• Strong proficiency in Microsoft Office (Outlook, Word, Excel)

• Excellent verbal and written communication skills

• Ability to multitask and stay organized in a fast-paced setting

• Professional demeanor with a high level of discretion and confidentiality

• Experience working with high-profile or VIP clients strongly preferred
