Star Staffing is seeking an experienced Bilingual Office Coordinator for one of the valley's top agricultural companies!
Mon-Fri 6am-2:30pm / $20-27hr DOE
Must be able to communicate effectively in English and Spanish
Summary: The Front Office Coordinator is responsible for providing administrative support to the Plant Management and Sales teams, ensuring smooth operations and timely delivery of products. Additionally, they assist with daily sales and accounting tasks and oversee office operations when needed.
Essential Duties and Responsibilities:
- Answer phones, greet visitors, and direct inquiries appropriately.
- Maintain office equipment and supplies, including ordering as needed.
- Assist clerical staff with administrative duties.
- Manage office files and records efficiently.
- Analyze operations data and support plant improvement efforts.
- Prepare reports and presentations for internal and executive use.
- Assist in preparing documentation for audits.
- Ensure effective communication of safety, quality, and performance updates.
- Coordinate supplies and tools to minimize disruptions.
- Maintain confidentiality and attention to detail in all tasks.
- Adhere to food safety and security procedures.
- Process and invoice sales orders using Nutware and QuickBooks.
- Coordinate deliveries with drivers and vendors.
- Communicate shipping schedules with relevant parties.
- Maintain customer database and track packing contracts.
- Prepare and reconcile monthly reports.
- Input USDA data accurately.
- Maintain weighmaster documentation and financial data entry.
- Oversee safety and quality control audit paperwork completion.
Education and Experience:
- High School Diploma or GED.
- 2-3 years of administrative support/clerical experience.
- 2-3 years of exporting experience.
- Strong attention to detail and customer service skills.
- Effective communication and ability to remain calm under pressure.
- Experience in maintaining confidentiality and prioritizing tasks.
- Bilingual in Spanish preferred.
Computer Skills:
- Proficient in Microsoft Office Suite.
- Experience with Nutware and QuickBooks preferred.
