Key Responsibilities:
- Answer and route a high volume of incoming calls professionally and efficiently
- Schedule and coordinate appointments and meetings
- Serve as a first point of contact for inquiries related to fire prevention and vegetation concerns
- Provide accurate, helpful information to community members and internal staff
- Manage multiple administrative tasks simultaneously with a high degree of accuracy
- Use Microsoft Excel for tracking, documentation, and data entry (must have working knowledge beyond basics)
- Maintain a calm and courteous manner when handling challenging or sensitive conversations
- Support team communication across departments and provide general office assistance
Key Qualifications:
- Minimum 2 years of experience in a busy office or customer-facing environment
- Strong verbal communication skills and professional presence — must be able to make eye contact, speak clearly, and represent the organization confidently
- Demonstrated ability to multitask and stay organized in a high-activity environment
- Proficient in Microsoft Office Suite, especially Excel (intermediate level or higher preferred)
- High attention to detail and ability to follow through on tasks with minimal supervision
- Reliable, punctual, and able to commit to a long-term assignment
- English fluency required
