Introduction

We are seeking an experienced, part-time, detail-oriented administrative assistant with strong communication and analytical capabilities. 

Administrative Assistant
This role is an excellent opportunity for an individual interested in working in a three-person office. The position is ideal for someone with administrative assistant experience, data entry and some accounting experience is helpful. The candidate will be responsible for the following:
  • Supports Office Manager / Bookkeeper and Property Manager through a variety of tasks related to organization and communications.
  • Responsible for confidential and time sensitive material.
  • Ability to effectively communicate person to person, phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.
  • Responsible for reception and phone duties. Send and reply to email, telephone or face to face inquiries. Provide information by answering questions and requests
  • Supports the Office Manager / Bookkeeper with administrative functions including data entry, accounts receivable and accounts payable processes as needed
  • Maintain computer and manual filing systems
  • Develop and update administrative systems to make them more efficient
  • Receive, sort and distribute the mail
  • Help maintain the accounting procedures for multiple commercial properties
  • Sort rental checks, input payment data into company software
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Perform other admirative tasks as needed  
Desired Employment Experience/Requirements
  • Minimum of an Associate’s degree preferred
  • Minimum of 3 years of administrative assistant experience
  • Ability to effectively balance and prioritize multiple projects, meet deadlines, analyze, and escalate non-routine issues
  • Ability to perform duties while maintaining a high level of confidentiality, discretion and respect for clients/others
  • Proficiency with Microsoft Office which includes Outlook, Excel and Word 
  • Familiarity with Skyline or other property management software experience a plus
  • Must possess excellent written and verbal communication skills
  • Ability to pass a background check
Work Schedule: 20-30 hours per week, Monday-Friday and will consider a reasonable alternative work schedule.
