Star Staffing is seeking an experienced and detail-oriented Accounts Receivable Specialist to join the Accounts Receivable (AR) team for a leading pharmaceutical company located in Santa Rosa, CA. This is a Temp to Hire opportunity offering a dynamic work environment and the chance to work with a collaborative team.

Key Responsibilities:

• Collections Management:

  • Prepare and send collection correspondence, including delinquent notices and monthly statements, using predefined templates.
  • Follow up with customers on delinquent accounts via phone calls and emails to ensure timely collections.
  • Implement the company’s collection strategies, ensuring quality service and profitable outcomes.

• Billing Discrepancies and EDI Communication:

  • Communicate any billing discrepancies to the Customer Service, Sales, EDI, and IT teams for resolution.
  • Address EDI billing fallouts and work with key stakeholders to ensure timely corrections.

• Reports & Account Reconciliations:

  • Assist in preparing reports for delinquent and at-risk customers on a monthly basis.
  • Provide support in daily payment postings, account reconciliations, and research tasks as needed by the AR team.

• Chargeback and Dispute Management:

  • Collaborate with Sales, AR, and Operations departments to review, complete, and process final document packets for chargebacks related to sales promotions and shipping issues.
  • Create and track Sales Promotion and Shipping Chargeback Disputes via customer portals, email, and other communication channels.
  • Follow up on disputes filed and maintain accurate records of claims in Smartsheet.
  • Assist with ad-hoc projects as needed, ensuring tasks are completed efficiently and accurately.

Job Experience:

• 2+ years of experience processing a large volume of Collections and Chargeback Disputes.
• Previous experience working with Accounts Receivable processes and systems.
• Familiarity with NetSuite, QuickBooks, or similar ERP systems is highly preferred.
• Experience collaborating with internal departments (e.g., Sales, Operations) and external stakeholders such as Shipping Carriers and large distributors is a plus.
• Experience working in customer communication portals (particularly for big box retailers and large distributors) is a preferred advantage.

• Highly tech-savvy, with an ability to navigate dynamic customer web portals and various systems.
• Proficient in Microsoft Word, Outlook, and Excel (Intermediate skills, including Pivot Tables, VLOOKUPs, SUMIFs, etc.).
• Strong mathematical and analytical skills, with the ability to identify issues and recommend solutions.

Qualifications:

• 2+ years of experience in Accounts Receivable or related roles.
• Familiarity with ERP and customer communication portals.
• Strong work ethic and detail orientation.
